Over the years, however, the scope expanded organically as new needs emerged. Outgoing invoices were added, followed by automated order processing and structured order confirmations. What started as a single use case gradually evolved into a broader document exchange layer supporting multiple business processes.

According to Kurt Dietz, IT Manager at Bygma, this step-by-step approach was essential.

“They’ve powered our incoming and outgoing invoices and orders. Initially, we received invoices from our primary suppliers, and over time, we expanded to handle outgoing invoices, orders, and order confirmations. Bit by bit, the scope has grown bigger and better.”

This gradual expansion allowed Bygma to continuously increase automation without large disruptive projects or frequent ERP customisations.

Reducing ERP Complexity Through External Document Handling

Bygma made a deliberate strategic choice not to solve document exchange challenges inside their ERP system through a growing number of add-ons, extensions, and custom integrations. Instead, they focused on keeping their internal systems stable and simple, while outsourcing the complexity of external document formats, partner requirements, and standards to iEDI.

“We’ve taken a pragmatic approach. We could do most of this ourselves, but we don’t want to. Our role is to manage one format for incoming documents and one for outgoing documents. iEDI handles everything else, transforming and delivering files to match the needs of suppliers and customers. It’s simple and efficient on our end.”

This approach has allowed Bygma to avoid maintaining multiple ERP extensions for invoices, orders, confirmations, and industry-specific formats. Instead, iEDI acts as a managed document exchange layer that absorbs external complexity and shields the core ERP from constant change.

“The flexibility and openness to our ideas are invaluable. When I come up with something and ask if it can be done, they never say it’s outside the scope. They investigate it, prototype a solution, and very often make it work. That adaptability has been extremely valuable for us.”

This flexibility proved especially important when Bygma transitioned their incoming invoice flows to Peppol. Rather than treating this as a standalone invoicing project, iEDI ensured that the change integrated smoothly into Bygma’s existing document landscape without disrupting adjacent processes.
